Office Coordinator
How would you help us cultivate an engaging work atmosphere in our office? Keepit is looking for an Office Coordinator to join our team in Krakow, Poland.

We need to be able to continuously learn from each other to break down silos, building the best possible software and service for our customers.
Our Krakow office is located on Długa, 72, near the city centre. We take pride in our multicultural, committed, and pleasant start-up atmosphere at the office, which brings together people with different backgrounds and skill sets.
Central tasks:
- Office supplies – ordering groceries and stationery; handling deliveries
- Support in organizing company’s events in and out of the office
- Close cooperation with Internal IT and Security, making a key card to the office
- Daily contact with the building landlord and other providers
- Sending out items (documents/gifts) for remote workers, working with couriers
- General help during team building/summits for visitors from other Keepit offices
- Participating in the onboarding process
Required skills:
- Advanced in verbal/written English and Polish
- Experienced in M365 & Teams, Excel
- A people person, always smiling and willing to help and listen
- Perfect organizational skills and attention to detail
- Working on the spot in the office from 9 AM to 5 PM
- At least 1 year experience in office, hotel reception, etc.

You will be assessed according to the criteria below:
1. Organizational skills: As an Office Coordinator you will help our existing HR team and will be a part of events happening in the organization; you will organize office activities and involve other parties in them. And being able to be a ranked and high-performing team player, sharing your ideas, and implementing them is essential for us.
2. Office administration: As an Office Coordinator, you will deal with documents and subcontractors who provide us with the service. In some time, you will work with finance and reporting. And it is good for us if you are a well-organized person.
Another big part of this role is making the office cosy for all Keepers. You must be independent and proactive here, creative, and caring. You will also care for the corporate apartment and Keepers, who arrive for business trips.
3. Interdisciplinary collaboration: We are looking for someone who can collaborate with everyone in the organization.
You will also have to deal with a lot of external contractors, realtors, etc. Internally, you will collaborate closely with a dynamic team of professionals across the People & Culture and Talent Acquisition teams and Internal IT specialists, working together across multiple locations, including Ukraine, Denmark, and Poland.
Furthermore, collaboration with our colleagues from other locations is a big part of the job, so you must be comfortable with virtual collaboration.
4. Client-oriented and positive environment: We are passionate about our people and what they do to make our product the best. And we expect our new Office Assistant to be as in love with Keepers as we all love them and provide them with the best and best service possible. We also care about creating a great environment, so you must cultivate it and make it as friendly and positive as possible.
5. Languages: We use English as our preferred language, and being confident in English, both written and spoken, is essential for this role.
