People & Culture Coordinator
Do you want to join us on an ambitious mission to secure the digital world? Keepit is looking for a P&C Coordinator to join our People & Culture team in the Krakow office, Poland.
Are you passionate about all things admin, thrive in an international organization, and an efficiency expert? We are looking for a proactive People & Culture Coordinator with exceptional attention to detail, who loves creating order and getting things done at speed. You should have a solid understanding of Polish labor law as well as great analytical and people skills.
Key Responsibilities
- Administrative Mastery: Own core People & Culture administrative tasks, including cooperating closely with an external payroll agency to ensure accurate payroll processing, managing records, maintaining up-to-date employee databases, enrolling employees in existing benefits programs and proactively suggesting improvements to enhance employee satisfaction.
- People & Culture Processes & Compliance: Ensure compliance with Polish labor laws and support audit requirements within People & Culture.
- Onboarding & Offboarding: Coordinate onboarding and offboarding procedures, ensuring smooth transitions and positive experiences for employees.
- People & Culture Helpdesk: Act as the first point of contact for employee and manager inquiries, providing timely and helpful support on various People & Culture topics.
- HR Metrics & Reporting: Collect and analyze key HR data (e.g., headcount, turnover, salary reviews), generate reports, and provide insights to support decision-making.
- Being Close to Employees: Foster a supportive and approachable People & Culture function by staying connected with employees, addressing concerns, and ensuring an open-door policy.
- Cross-Border People & Culture Support: Collaborate with People & Culture teams in other countries to ensure alignment and assist with local compliance, reporting, and regulatory requirements.
- Employer of Record Coordination: Serve as the main point of contact with our Employer of Record in locations where we do not have our own legal entity.
- Documentation & Reporting: Assist in compiling and generating People & Culture insights, including reports, diagrams and other key analytics to support decision-making.
Key Requirements
- Proven experience in People & Culture administration or a similar role, ideally in an international setting.
- Strong understanding of Polish labor laws, with experience navigating European employment regulations being a plus.
- Excellent organizational skills with an ability to multitask and work at high speed without compromising accuracy.
- Strong communication skills in English (additional EU languages are a plus).
- Proficiency in Polish.
- Advanced proficiency in Excel (including salary review reports, pivot tables, and data analysis) and experience with HRIS systems (we use BambooHR) and Microsoft Office Suite (Word, PowerPoint).
- Detail-oriented, proactive, and passionate about supporting employees while maintaining structure in a fast-paced environment.
