Design System Manager

Our platform helps customers protect critical data in systems like Microsoft 365, Google Workspace, Salesforce, Azure AD, Dynamics 365, and Zendesk. Whether they’re facing ransomware or a simple human mistake, we’ve got their back.
As our Design System Manager, you will be at the heart of how our teams create, build, and maintain consistent, high-quality products. You’ll guide the evolution of the system, ensuring it’s not just a library of components, but a living, strategic resource that empowers designers, developers, QA, and marketing alike. You’ll coordinate across teams, clarify decisions, and remove roadblocks so that the system works seamlessly for everyone. Your role combines leadership, mentorship, and strategic thinking, you’ll coach teams to make confident design decisions, document and communicate best practices, and advocate for the system as a central tool that enhances efficiency and quality across the organization. By promoting alignment, clarity, and adoption, you’ll help the design system become a shared language that enables creativity and accelerates delivery.
One thing to note, is that we call our Design System an Experience system - we do that, because it is a bit more than just a component library, it also contains guidelines and information about how our user experiences should be handled, how interaction with our application work and how to think when designing for Keepit.
You will join our skilled design team, with members in Lviv, Copenhagen, and Krakow. This means that virtual collaboration makes up a comprehensive part of your daily work.
Central tasks as a Design System Manager will include:
- Lead and Manage Projects:
Drive design system initiatives from start to finish. Set priorities, create roadmaps, track progress, and make sure all stakeholders know their responsibilities and deadlines. Create and manage team OKRs. - Coach and Enable Teams:
Empower designers, developers, and other stakeholders to make confident, system-aligned decisions. Provide art direction, give and receive feedback, and foster a culture of learning and ownership. - Facilitate Communication and Collaboration:
Act as the central point for alignment across design, development, QA, and marketing. Clearly articulate system decisions, updates, and benefits, making complex ideas simple and actionable for all audiences. - Own Documentation and Knowledge Sharing:
Maintain clear, structured, and accessible documentation. Coach others on best practices for documenting patterns, components, and guidelines. Turn the system into a living resource that everyone in the organization can rely on. - Shape Strategic Direction:
Identify opportunities to grow, optimize, and scale the system. Advocate for improvements that increase adoption, efficiency, and impact across products.
Required skills:
- Experienced with design systems, design operations, or UX program management.
- Excellent at project management, coordination, and cross-functional alignment.
- A natural coach and mentor who can inspire confidence and autonomy in others.
- An outstanding communicator in spoken and written English, capable of translating complex concepts into simple, actionable guidance.
- Passionate about documentation, clarity, and creating systems that empower teams.
- Strategic, collaborative, and pragmatic—able to balance long-term vision with day-to-day execution.
Tools set:
You’ll be working with a modern set of tools that help us design, document, and deliver efficiently among others: Jira, Confluence (for knowledge sharing, tracking and planning), Condense (for documenting research and insights), Figma (for collaborative design), Supernova (for streamlined documentation), and Storybook (for interactive component development).

- Language: English is a preferred language, and we expect you to be fluent in both written and spoken.
- Proactive approach: Design systems aren’t just component libraries—they’re frameworks for consistency, efficiency, and better user experiences. You’ll be the guardian, advocate, and driver of our system, shaping how teams collaborate, make decisions, and deliver products that delight our users
